This policy explains what personal data Zreo Proptech Private Limited (“Zreo”, “we”, “us”) collects, why we collect it, how we use and protect it, and the choices you have. It covers our website at zreo.in, our commercial real estate advisory services, and our business software platform Sentinel (sentinel.zreo.in).
We follow India’s Digital Personal Data Protection Act, 2023 and, where applicable, the GDPR.

2. Data we collect
Information you give us
- Name, email address, phone number and company details when you enquire about office space, request a callback, or sign up for Sentinel
- Your requirements — location, size, budget, timelines — so we can find suitable spaces
- Account information for Sentinel users: name, work email, role, and the business data you choose to store in the platform
- Billing details where you purchase a paid plan
Information from advertising and lead forms
If you submit a lead form on Facebook or Instagram, Meta passes us the details you entered on that form — typically your name, email address, phone number and any answers you gave. We receive this only because you submitted the form, and we use it only to respond to your enquiry. The same applies to lead forms on Google and to forms embedded on our own website.
Information collected automatically
- Standard technical data — IP address, browser type, pages viewed, referring source
- Cookies and similar technologies, including advertising pixels, used to measure which campaigns bring genuine enquiries
3. Why we use it
- To respond to your enquiry and show you relevant office spaces
- To provide, operate and support the Sentinel platform for our customers
- To send you information you asked for, and service messages about your account
- To measure and improve our advertising — we send Meta and Google signals about which enquiries became genuine business, so campaigns optimise on real outcomes rather than form fills alone
- To meet legal, tax and accounting obligations
We do not sell your personal data. We do not share it with landlords or third parties for their own marketing.
4. Artificial intelligence
Sentinel uses AI to help users draft messages, summarise conversations, transcribe voice input and score leads. To do this, the relevant content is processed by trusted AI providers under contract. These providers act on our instructions and are not permitted to use your data to train their own models. Some AI processing takes place on servers outside India.
5. Who we share data with
We share personal data only with service providers who help us operate, and only to the extent needed:
- Cloud hosting and database providers
- AI and speech processing providers
- Email, SMS and WhatsApp messaging providers
- Payment processors, for billing
- Advertising platforms, for campaign measurement
We may also disclose data where the law requires it, or to establish or defend legal claims.
6. Where data is stored
Our primary systems are hosted in India. Some service providers process data outside India; where that happens we rely on contractual safeguards to protect it.
7. How long we keep it
- Enquiry and lead data: up to 24 months from your last interaction, unless you ask us to delete it sooner
- Customer account data: for the life of the account and 12 months after closure
- Invoices, tax and GST records: 8 years, as Indian law requires
8. How we protect it
- All traffic is encrypted in transit using TLS
- Credentials, API keys and integration tokens are encrypted at rest
- Access is restricted by role, and each customer’s data is isolated from every other customer’s
- Sensitive actions are logged and auditable
9. Your rights
You can ask us to:
- Tell you what personal data we hold about you
- Correct anything inaccurate or incomplete
- Delete your data, where we are not required to keep it
- Stop sending you marketing messages — you can also unsubscribe from any email or reply STOP to any WhatsApp or SMS message
- Nominate someone to exercise these rights on your behalf, as the DPDP Act allows
Email privacy@zreo.in and we will respond within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India.
10. Deleting your data
To have your personal data deleted, email privacy@zreo.in from the address you gave us, with the subject line “Delete my data”. Include your name and, if you contacted us through a Facebook or Instagram lead form, the phone number or email you entered on that form.
We will confirm your identity, delete your personal data from our active systems within 30 days, and email you when it is done. Records we are legally required to keep — such as invoices and tax records — are retained for the statutory period and then deleted.
If you connected a Facebook Page to Sentinel, you can also remove our access at any time from your Facebook settings under Business Integrations. Doing so stops any further data flowing to us.
11. Children
Our services are for businesses and are not directed at children. We do not knowingly collect data from anyone under 18.
12. Changes to this policy
If we change this policy we will update the date at the top, and tell you directly where the change is significant.
